Hello Chris,
Delighted to get your response.  Your thoughts and direction is "right on" which we definitely look forward to work together and I will keep you informed and involved as much as you like in our up coming tournaments.  We will set up a meeting as you mentioned, I have your phone number to schedule a time possibly in early 2009.   Sincerely, JR

Mr. Smith,

Thank you so much for the letter and the information.  We already have our calendars marked for May 14 and 15, 2010.
We are small in numbers, but will help in any way we can.  Thinking out loud, I came up with the following:

    - we have special rates with a few of the local hotels that may help your participants out.
    - we have a caterer who works with us very closely that should be able to help us out.
    - our Home will be happy to sponsor one of the days refreshments.
    - the use of our conference center in the basement of the York Rite Chapel is completely remodeled, handicap accessible and would be free of charge.
    - I'm sure some folks locally would be willing to help out in some way as the event approaches.
    - I believe something involving our children would be wonderful and received extremely well by our children.  I can see something very special coming from this.

If I could, I'd like to meet with you and those in your organization as you prepare for this year's tournament, to observe some of the things we could assist with.  As a non-profit, I'm not sure exactly what we could do, but by meeting with you and your organizers (maybe in February, March or April of 2009) it would give us a good idea of how we could help.

I look forward to hearing from you and again, thank you for this opportunity.  We hope this will be something positive for your group and beneficial to all involved.

Sincerely,
Chris

Hello Chris, I got this email letter ready to send to you some time ago and I'm not sure if I sent it or not... I was thinking maybe it would be more appropriate to mail it.  I included some links in this letter and the only way they work is viewing it from a computer.  I did try to send an email with this letter attached but it was rejected.
